How licensed users are counted
CloudOrbit pricing is based on the number of active accounts with at least one qualifying Microsoft 365 core licence assigned.
Counting rules
- An active Microsoft account with at least one qualifying core licence counts as one billable user.
- Counted once, even if multiple qualifying core licences are assigned.
- Includes normal users, admin, service or automation accounts when active and licensed.
- Disabled accounts are excluded by default.
- Unlicensed accounts are excluded.
- Add-on-only accounts are excluded unless a qualifying core licence is also assigned.
Examples
- Active user with Business PremiumCounts as 1
- Active admin with Microsoft 365 E5Counts as 1
- Active service account with Business BasicCounts as 1
- Active user with Business Standard + E5Counts as 1 (not 2)
- Disabled user with E3Excluded by default
- Active account with Power BI Pro onlyExcluded (unless configured billable)
- Shared mailbox with no core licenceExcluded
- Guest user with no core licenceExcluded
Qualifying core licences (examples)
CloudOrbit resolves qualifying core licences from your tenant's actual SKU data. This catalogue is configurable, so new Microsoft licences can be recognised without code changes.
Live data and retention
Core shows live Microsoft cloud data. Long-term history is an optional, customer-controlled add-on.
Core — live / current
- Live/current visibility from available Microsoft cloud data and Microsoft default retention/API behaviour.
- CloudOrbit does not store long-term historical data by default unless configured.
- Dashboards reflect current/available data and the latest sync state.
Extended Retention — optional
- Optional Extended Retention add-on.
- Uses a customer-approved Azure Storage account.
- Stores selected reporting snapshots/metadata — not all raw customer data.
- Configurable retention period, up to 7 years where required.
- Suitable for governance, audit, trend history and compliance reporting.
- Customer controls storage location and retention requirements where possible.

Frequently asked questions
Why are capability packs quoted?
Capability packs depend on your Microsoft tenant, Azure footprint, telemetry requirements, reporting scope, data retention needs and implementation effort. We scope these packs with you so pricing reflects what you actually need.
Can I still estimate Core pricing?
Yes. CloudOrbit Core can be estimated from your licensed-user and Azure subscription bands. Capability packs are quoted separately.
Can I add packs later?
Yes. Start with Core, then add capability packs when you are ready to expand into governance, security, endpoint, automation, retention or advisory.
Do I need all add-ons from day one?
No. Start with CloudOrbit Core for cost, identity, licence and resource visibility, then add capability packs as needed.
Can I start with Microsoft 365 and Azure only?
Yes — that's exactly what Core covers: Microsoft 365 licence intelligence plus Azure cost and resource visibility, read-only by default.
How are billable users counted?
By active accounts with at least one qualifying Microsoft 365 core licence. Each account counts once even with multiple core licences; disabled and unlicensed accounts are excluded by default.
Does CloudOrbit keep my data for years?
Not by default — Core shows live/current data using Microsoft's default retention. The optional Extended Retention pack stores selected reporting snapshots in your own Azure Storage for up to 7 years.
Can I pay annually?
Yes — annual billing is available with a discount, and monthly is available too. Enterprise agreements can be invoiced.
Can I use invoice or a purchase order?
Yes — invoice, purchase order, annual agreement and custom enterprise terms are available. Talk to us for a quote.
Do you store payment card details?
No. CloudOrbit never stores card numbers. Billing is handled securely through a PCI-compliant payment provider using hosted checkout.
Can I cancel or change add-ons?
Yes — packs are modular. You can add or remove capability packs as your needs change.
Do you support MSPs / multiple customers?
MSP and multi-customer operator capabilities are on the roadmap as a future CloudOrbit solution. If you operate multiple tenants, contact us to discuss roadmap access.
Are security and governance modules optional?
Yes — governance, security, endpoint, apps, infrastructure, data protection, automation, retention and advisory are all optional packs on top of Core.
Ready to see your Microsoft cloud clearly?
Start with Core, add packs when you need them. Guided onboarding, read-only by default.
